NetID Request

The process begins when a request for a new NetID is submitted. This initial step is crucial as it sets the process in motion, indicating that a new user or an entity requires access to Texas A&M resources.

Review & Approval

Once the request is made, it undergoes a review and approval process. This stage is vital for security and compliance, ensuring that the request is legitimate and that the requester has a justifiable need for access. The approval process typically involves verifying the identity of the requester and the validity of their need for a NetID.

NetID Provisioned/Re-Authorized

Following approval, the NetID is provisioned or re-authorized. Provisioning involves creating and setting up the NetID with the appropriate access levels and resources. If the NetID already exists and its access is being extended, this stage involves re-authorizing or updating those access rights.

Renewal

Every Sponsored NetID has an expiration date of no more than 1 year from date of creation/reauthorization to ensure that access is not indefinitely open. As this expiration date approaches, the system flags the NetID, signaling that action is required to either extend or terminate access. This mechanism helps manage access rights dynamically, reflecting changes in roles, projects, or relationships with Texas A&M.

At this juncture, the sponsor of the NetID — typically a manager, department head, or a similar authority within the organization — receives a notification about the impending expiration. They have the option to approve an extension if the NetID's access remains necessary. Their approval restarts the cycle, with the NetID being re-authorized for a new term.

Alternatively, if the sponsor decides that the NetID's access is no longer required, they may choose not to approve the extension. This decision is critical as it triggers the process to safely conclude the NetID's lifecycle.
