Employee Lifecycle
New Hire
When a new employee's information is entered into Workday, and their status is set to "active," their NetID becomes available within 24 hours. This is the initial state for a new employee's NetID.
Active
Once the NetID is claimed by the employee, it enters the "Active" state. In this state, the employee has full access to Texas A&M resources and systems based on their role and permissions.
Leave of Absence
If an employee goes on leave of absence, their NetID remains active, and they do not lose any entitlements or access during this period.
Terminated
When an employee is terminated, their NetID is immediately locked, and all access is removed. However, the account remains in an "inactive" state for 30 days before being permanently deleted.
Retiree
Upon retirement, an employee's NetID remains active, and they retain access to Texas A&M resources and systems unless specifically revoked. However, their Microsoft 365 license is downgraded from A5 to A1, which may limit certain features or functionality (such as decreasing mailbox quota size from 100GB to 50GB, and losing the ability to license desktop Office applications).
Working Retiree
If a retiree is rehired into a new position, their NetID transitions to the "Working Retiree" state. In this state, they have the same privileges and access as an active employee.
Deceased
In the unfortunate event of an employee's passing, their NetID remains inactive for 30 days before being permanently deleted from the system.
